Complaint (Whistleblowing) Procedure

BOBAJOY considers the early identification of potential violations as a fundamental responsibility in order to prevent harm to its customers, employees, business partners, and other stakeholders. In this context, an effective complaint (whistleblowing) mechanism has been established to enable the reporting of human rights and environmental risks or violations that may arise throughout the supply and value chain.

This procedure defines the principles for receiving, assessing, managing, and concluding complaints.

1. Purpose of the Complaint Procedure

The complaint procedure provides all stakeholders with the opportunity to report human rights and environmental risks or violations related to BOBAJOY ’s operations and its supply chain.

This mechanism also serves to:

- Prevent potential harm
- Minimize existing risks
- Act as an early warning system

2. Who Can Submit a Complaint?

Any internal or external individual or entity may submit information or file a complaint, including:

- Employees
- Suppliers
- Business partners
- Customers
- Other stakeholders

3. Scope of Complaints

The complaint procedure covers:

- Human rights violations
- Environmental risks and violations
- Practices that are non-compliant with BOBAJOY ’s legal and ethical obligations
- Risks and violations occurring within the supply chain

4. How to Submit a Complaint

Complaints and reports can be submitted through the following channels:

5. Handling of Complaints

All complaints are handled by specially authorized and independent personnel.

- These individuals act independently and are not bound by instructions
- They are obliged to maintain strict confidentiality
- They ensure an impartial and objective process

6. Complaint Process

- All reports are documented internally
- Complaints are categorized and prioritized based on their subject and severity
- Additional information may be requested from the reporter if necessary
- Reports are reviewed centrally
- If a risk or violation is identified:
  - Appropriate preventive and corrective actions are implemented
  - The process is monitored by the responsible department
- If no violation is identified, the process is closed
- The reporter is informed about the outcome of the process

7. Protection of Whistleblowers

BOBAJOY is committed to protecting individuals who report concerns:

- All information is treated confidentially
- The identity of the whistleblower is protected
- Information is shared only on a “need-to-know” basis
- Full compliance with data protection regulations is ensured
- Whistleblowers are protected against any form of discrimination or retaliation
